The honest answer depends on your date, your venue, and your finish choice. Here’s what you actually need to know — including what to do if you’ve left it late.
Chair hire isn’t the first thing most couples think about when planning a wedding. That’s understandable — venue, caterer, photographer, and florist all feel more pressing. But chairs are one of the items that can genuinely run out at peak times, and leaving it too late creates a problem that can’t always be fixed with money.
The general rule
For a summer Saturday wedding — particularly between May and September — book your chairs 9 to 12 months in advance. This isn’t paranoia. Popular dates fill early because most events happen on Saturdays, most couples want the same peak months, and every hire company has a finite number of chairs. Once those dates are gone, they’re gone.
For off-peak dates — weekdays, Sunday events, or winter weddings from October through March — the pressure is considerably lower. Four to eight weeks is typically enough, and we can often accommodate bookings with less notice than that.

Why the finish matters for lead time
Standard gold, white, and black Chiavari chairs are the most widely stocked. Most hire companies carry large quantities of these and they’re more likely to be available even with shorter notice.
Limewash chairs are in significantly higher demand than their availability would suggest. They’ve become one of the most requested finishes in the past two years, and not all suppliers stock them in large quantities. If you want limewash for a summer wedding, booking 9 to 12 months ahead is not excessive.
Ghost chairs are also less widely available and can run short on peak dates. If this is your preferred finish, don’t treat it like a standard booking.
What you need to have ready when you book
You don’t need to have every detail confirmed to make a booking. Most suppliers will hold a date with a deposit and finalise quantities and logistics closer to the event. What you do need at the point of booking:
- Your event date
- Venue name and location
- An approximate guest count — even a rough range is fine
- Which chair finish you want
- Whether you need ceremony setup, dining setup, or both
You can adjust quantities later. Most suppliers will accommodate changes to guest numbers up to a few weeks before the event, subject to availability. What you can’t do is create stock that doesn’t exist.
What happens if you’ve left it late
If your date is within three months and you haven’t booked yet, contact suppliers directly and ask the question plainly: do you have availability on this date for this quantity? Don’t spend time filling in contact forms — call.
If your preferred finish isn’t available, ask whether a different finish is available for your date. Most couples find a workable alternative. If nothing is available at all, ask whether the supplier has any referrals or knows of other reliable companies with stock.
If someone promises everything at short notice
Be cautious of a supplier who confirms a large order on a peak summer Saturday without any questions or caveats. Stock availability is a real constraint. A company that tells you what you want to hear without checking isn’t necessarily a company that will deliver what you booked.
One thing most articles don’t mention
The lead time for booking isn’t just about chair availability — it’s about logistics planning. A good chair hire company will want to know your venue’s access window, whether there’s a loading bay, and how setup will work alongside other suppliers. That planning takes time and is harder to do properly when a booking comes in two weeks before the event. The earlier you book, the more thoroughly your order can be planned.
